CANCELLATION AND RESCHEDULING POLICY OF CANYON ECHOES LLC
Reservations and Payment
Payment of the total trip cost is due at the time of booking. Reservations are not confirmed until such payment has been successfully received by Canyon Echoes LLC (the “Company”).
Client Cancellations and Rescheduling
All requests to cancel or reschedule a trip must be submitted to the Company in writing by email or mail. Refund and rescheduling eligibility will be determined based on when the Company receives the written request in relation to the scheduled start time of the trip, as follows:
If the Company receives a cancellation or rescheduling request at least seven (7) days before the scheduled trip, the client may elect either: (a) a full refund of all amounts paid; or (b) to reschedule the trip, subject to availability.
If the Company receives a cancellation or rescheduling request between three (3) and six (6) days before the scheduled trip, no refund will be provided. The client may reschedule the trip, subject to availability and the Company’s approval. All amounts previously paid will be applied to the rescheduled trip.
Cancellations or requests to reschedule received less than seventy-two (72) hours before the scheduled trip are not eligible for a refund, credit, or rescheduling. All amounts paid will be forfeited.
Clients who fail to appear for a scheduled trip without providing timely notice will not be eligible for a refund, credit, or rescheduling, and all amounts paid will be forfeited.
Any rescheduled trip must be completed within two (2) months of the originally scheduled trip date and is subject to availability. A reservation may be rescheduled only one (1) time.
Weather and Unforeseen Conditions
Trips may proceed in rain, snow, or other normal or reasonably anticipated weather conditions unless the Company determines, in its sole discretion, that conditions are unsafe or otherwise unsuitable for the trip. No refunds, credits, or rescheduling will be provided due to weather-related discomfort, personal preferences, or a client’s decision not to participate when the Company determines that the trip may safely proceed.
If the Company cancels a trip due to unsafe weather conditions, natural disasters, government closures, or other circumstances beyond the Company’s reasonable control, the Company may offer the client, at the Company’s discretion, a rescheduled trip, a credit toward a future trip, or a refund of amounts paid.
Company Cancellation
The Company reserves the right to cancel any trip due to safety concerns, insufficient participation, equipment failure, guide illness or unavailability, or other circumstances that make the trip unsafe or impracticable. In such event, the client’s sole remedy shall be, at the Company’s election, a refund of amounts paid or a credit toward or rescheduling of a future trip.
Late Arrivals and Early Departure
No refunds, credits, or rescheduling will be provided for unused services, late arrivals, early departures, missed activities, or a client’s voluntary withdrawal from a trip. A client’s late arrival may result in the client being unable to participate in some or all of the trip if the Company determines that delaying the trip or permitting late participation would interfere with trip operations or safety.
Travel Insurance
Clients are strongly encouraged to purchase travel insurance that provides appropriate coverage for trip cancellation, interruption, travel delays, illness, injury, weather events, and other unforeseen circumstances. The Company’s cancellation and rescheduling policies apply regardless of whether a client purchases travel insurance.
Acknowledgment
By booking a trip, the client acknowledges that the client has read, understands, and agrees to be bound by this Cancellation and Rescheduling Policy.
Participant Health, Safety & Equipment Forms — 24-Hour Deadline
The trip organizer may reserve and pay for a trip without waiting for individual participants to submit their forms. Every actual participant must submit their own confidential Health, Safety & Equipment Information Form at least 24 hours before the scheduled trip. The organizer is responsible for communicating this requirement to all participants. Missing or incomplete forms may result in denial of participation and do not automatically qualify for a refund, credit, or rescheduling, subject to applicable law and the Company’s other cancellation obligations. The Company may approve exceptions, including late substitutions or technical difficulties, at its discretion. With advance operator approval, a last-minute participant may complete and sign a paper form in ink; the form must be reviewed by authorized guides before participation. Completion of a form does not guarantee participation where safety concerns remain.
